1. Agreement to Terms

These Terms of Service ("Terms") constitute a legally binding agreement between your dental practice ("Practice," "Client," "you") and Omni Dental Solutions ("Omni," "we," "us"). By engaging our dental billing, claims processing, insurance verification, or revenue cycle management services, you agree to comply with and be bound by these Terms.

2. Month-to-Month Flexibility & No Startup Fees

We stand firmly behind our service quality:

No Startup or Onboarding Fees: We do not charge initiation fees, software connection setup fees, or onboarding penalties to begin working with your practice.
Month-to-Month Agreement: Services operate on a rolling month-to-month basis. You are never locked into long-term annual contracts.
30-Day Cancellation Notice: Either party may terminate services with thirty (30) days written notice without cancellation penalties.

3. Scope of Dental Billing Services

Depending on your selected service tier, Omni Dental Solutions provides:

  • Comprehensive insurance eligibility and benefit verification prior to patient visits.
  • Daily electronic submission of clean primary and secondary dental claims with required attachments and narratives.
  • Proactive aging Accounts Receivable (A/R) research, denial analysis, and appeal submissions.
  • Payment posting for Electronic Funds Transfers (EFT), virtual cards, paper checks, and patient co-pays.
  • End-of-month reconciliation reports reflecting collections, adjustments, and outstanding claims.

4. Client Responsibilities

To ensure timely claim turnaround and maximum collections, the practice agrees to:

  • Provide secure, authorized remote access credentials to the practice management system.
  • Accurately complete clinical charts, provider notes, radiographs, and periodontal charts needed for claim attachments.
  • Notify Omni promptly of changes to provider credentials, NPIs, or payer participating status.

5. HIPAA & Confidentiality

Both parties agree to uphold all requirements of the Health Insurance Portability and Accountability Act (HIPAA). A signed Business Associate Agreement (BAA) is required prior to data exchange or system access.
