Omni Dental Solutions ("Omni," "we," "our," or "us") provides revenue cycle management, insurance verification, dental claim billing, and practice management support to dental practices. We understand the sensitivity of healthcare data and maintain rigorous security standards to safeguard both practice operational information and Protected Health Information (PHI).

2. HIPAA Compliance & Business Associate Agreement (BAA)

Omni Dental Solutions operates as a Business Associate under the Health Insurance Portability and Accountability Act of 1996 (HIPAA) and the Health Information Technology for Economic and Clinical Health Act (HITECH). Prior to commencing any billing services or accessing dental practice software, Omni executes a standard Business Associate Agreement (BAA) detailing our strict obligations regarding the use, disclosure, and protection of Protected Health Information (PHI).

Strict role-based access control and multi-factor authentication
Continuous audit logging of all claim review and billing access
Regular employee HIPAA training and compliance re-certification

3. Information We Collect

Depending on the services requested by your practice, we may collect and process:

  • Practice Information: Clinic name, NPI, Tax ID (TIN), office address, provider credentials, and authorized staff contact information.
  • Billing and Claim Records: Patient insurance policy numbers, group numbers, subscriber details, procedure codes (CDT), diagnosis codes, Explanation of Benefits (EOB), and Electronic Remittance Advice (ERA) solely as necessary to submit and resolve insurance claims.
  • Website Inquiries: Contact information provided through our audit request or contact forms (name, dental practice name, email address, phone number).

4. How We Use Collected Information

We use information exclusively for the purposes for which it was provided:

  • Submitting, tracking, and appealing dental insurance claims with insurance payers.
  • Verifying patient insurance benefits and eligibility prior to scheduled visits.
  • Posting payments and reconciling statements with practice management software.
  • Communicating with your practice staff regarding billing status and revenue reports.
  • Complying with applicable federal and state healthcare regulations.

We never sell, rent, or commercialize practice data or patient information to third parties.

5. Data Retention & Security

We retain records only for the period necessary to fulfill service agreements and comply with statutory healthcare retention rules. All servers and networks hosting operational tools are monitored 24/7 with intrusion detection and automated backups.
